Epic Beaker Project Implementation

  • Beaker is Epic's laboratory information system (LIS). With Beaker, pathologists, laboratory technologists, phlebotomists, and other laboratory staff contribute to the same unified patient record shared with physicians and nurses using Epic clinical modules. Because Beaker is integrated with the Epic clinical suite, there are no interfaces between the lab and the electronic health record, significantly reducing lag time and maintenance needs. Beaker has two modules: Clinical Pathology (AP) and Anatomic Pathology (CP).

  • Beaker is going live in three locations: RUHS Medical Center Lab, MSC Lab, and Public Health Lab.

  • Beaker is going live on Wednesday, March 20, 2024 at 0400.

  • Barcoded Specimen Collection

    Beaker helps end-users perform positive patient identification (PPID) by using integrated scanning collection and tracking workflows to ensure that the right patient is always associated with the right specimen.

    On-the-go Specimen Collection Using Rover and Mobile Printers

    Rover, an Epic app for mobile devices, supports specimen collection workflows based on barcode scanning. It allows nurses and phlebotomists to scan, print labels, and document specimen collection at the bedside.

    Specimen Tracking

    Specimens are tracked electronically in a single-piece processing workflow that reduces the opportunity for error. A complete audit trail gives the organization a full view of the specimen's lifecycle and makes finding its current location easy.

    Smart Add-on Tests

    When appropriate specimens are available, the system prompts physicians to add on relevant tests to reduce unnecessary draws. Redundant tests are automatically canceled, and substitute tests are ordered.

    Real-Time Worklists

    Real-time to-do lists centralize ongoing and upcoming work with a shared Outstanding List for testing and resulting, and worklists for receiving, preparing, and shipping specimens.

  • Integrated Disease Reporting

    Pathologists can review radiology, anatomic pathology, and clinical pathology results for multiple related orders in a single screen to quickly assess diseases that require various procedures to diagnose and monitor.

    Cancer Documentation Simplified

    Pathologists complete synoptic checklists for patients with cancer in Epic. The documentation in these completed checklists appears automatically for biopsy patients and can automatically populate forms in Beacon's Staging activity to ensure consistent documentation and minimize redundant charting.

    Specimen Tracking

    Beaker tracks every specimen's life cycle with unique barcodes, eliminating the need to relabel samples and reducing chances for error.

    Supports Integration with Third-Party Speech Integration System

    Beaker supports dictation applications that allow speech-to-text software for fast and consistent transcription.

    Built-In Charge Review

    Pathologists can place and review charges without having to open another application. 

  • Nurse End-user Moodle Training Dates (virtual): Tuesday, Jan. 16, until go-live

    Lab Superuser Beaker Training Dates (in-person): Tuesday, Jan. 16, until Friday, Feb. 2

    Lab End-user Beaker Training Dates (in-person): Monday, Jan. 29 until Friday, March 8

    Downtime/Cutover Date: Tuesday, March 19 at 2300

    Starting at 2300 on Tuesday, March 19, RUHS Laboratories and Blood Bank will be down.

    End-users are expected to follow downtime laboratory and blood bank workflows as defined in:
